Booking terms & conditions
These conditions form part of your contract with Sandbanks Chauffeurs once we accept your booking. Please read them before you confirm.
1. Definitions
- Sandbanks Chauffeurs — the operator providing the private hire journey.
- The Client — the person who booked, or the passenger travelling.
- The Booking — the request made online, by WhatsApp, email or telephone.
- The Booking Confirmation — our written acceptance (WhatsApp or email counts).
- The Price — the fixed fare stated in the booking confirmation.
- The Driver — the licensed driver allocated to the journey.
- The Pick-up address — as stated on the confirmation. For an airport, seaport or station, pickup is in the arrivals hall or another agreed place.
2. The contract
The contract starts when we accept your booking in writing. These conditions, the quote and the confirmation together make up the contract. English law applies.
3. What we provide
- 3.1 We provide the journey described in the booking confirmation.
- 3.2 We are not liable for delay or failure caused by incorrect instructions given at booking. Check the confirmation as soon as you receive it.
- 3.3 Child seats, boosters and infant seats are provided free where we can. The driver will fit the seat; it is the parent or guardian's responsibility to secure the child. You may bring your own seat. We strongly advise against travelling without a suitable seat.
- 3.4 We are not liable for costs you incur because of delay caused by traffic, driver illness, accident or other matters outside our control.
- 3.5 Inbound (airport/port): the driver contacts you after landing and meets you in arrivals. One hour of waiting after landing is included. If you have not made contact within 45 minutes, call 01202 028334.
- 3.6 Outbound: the driver arrives at least five minutes before the booked time. If they have not arrived, call 01202 028334.
4. Payment and extra charges
If you have not paid in advance, pay the driver at the destination by cash or debit/credit card. We do not take a deposit as standard.
- 4.1 Cancellations more than 24 hours before pickup or landing: free. Within 24 hours: 50% of the fare. Cancellations must be in writing (WhatsApp or email). No-shows after the waiting allowance: the full fare.
- 4.2 Any delay or extra cost caused by wrong addresses, times or passenger/luggage details on the booking is chargeable to you.
- 4.3 You are responsible for damage or soiling. Interior valeting is charged at £100. Other damage is charged at cost. If the vehicle cannot be used, £100 per day while it is off the road.
- 4.4 After the included 60 minutes of airport waiting, waiting is £20 per hour, charged pro rata every 30 minutes. Extra car-park charges after that point are also passed on.
5. Force majeure
We are not liable for loss or damage caused wholly or partly by war, national emergency, government controls, labour shortage, strikes, lock-outs, malicious damage, severe weather, or any other cause not wholly within our control.
6. Your responsibilities
- 6.1 Allow enough time for traffic, especially if you have a flight, sailing or train to catch. We are not liable for missed connections where a reasonable buffer was not booked.
- 6.2 If your flight will be more than one hour late, tell us as soon as you can on 01202 028334.
- 6.3 We are not liable for the cost of alternative transport beyond the confirmed fare if we cannot complete the journey.
7. Luggage and belongings
- 7.1 Luggage and personal belongings travel at your risk. We are not responsible for damage during loading or unloading.
- 7.2 Tell us the amount and size of luggage when you book so we send the right vehicle. Excess luggage is carried only if the driver judges it safe, and solely at your risk.
8. Conduct
- All vehicles are licensed private hire, driven by council-licensed, DBS-checked drivers, insured for hire and reward.
- No smoking or vaping. Food by arrangement.
9. Changes in law
If the cost of performing the contract changes because of a new or amended law or regulation after the booking date, that increase or reduction may be added to or deducted from the price.
10. Disputes
Any dispute may be referred to arbitration in England if we cannot resolve it between us. These conditions are governed by English law.
